Missed call to Elm Street Heating & Cooling

AC running but not cooling

Jamie Lewis (202) 555-0146

Voicemail transcript

“Hi, it’s Jamie. Our AC is running, but the air isn’t cold. It started yesterday. Could someone call me about having a look?”
Recording saved Email alert sent

Read the message. Check the recording. Call back when you’re ready.

Illustrative example, not a real customer message. For heating and cooling teams out on service calls.
  • Keep your business number
  • Read the message or listen back
  • You decide what happens next

The busiest days are the hardest days to pick up.

When the weather turns, calls can arrive while you’re already tracing a fault or talking a customer through their options. A list of missed numbers doesn’t tell you who needs a tune-up and who says their AC has stopped cooling.

You don’t need to answer every call. You need to know what each one was about.

Read the symptoms before the callback.

Keep your attention on the equipment

Let the caller leave a message while you finish your checks. CallCrate gives you a way to hear the request without answering from a ladder or a tight attic.

Hear what the customer noticed

Read their description of the noise, temperature, or system behavior. The recording stays with the transcript so you can check a detail in their own words.

Review calls between service stops

An email alert points you to each message. Open your inbox when you’re ready to decide which calls to return and what questions to ask.

Typical calls: AC faults, furnace service requests, seasonal maintenance, and replacement questions.

Your number.
Your customers.
A better way to miss a call.

CallCrate works behind your existing business number. No new number to put on the van, your website, or your business cards.

  1. We help you get set up

Create your account and add your business details. We prepare your CallCrate forwarding number and check that it works. It takes a little time; it isn’t instant.

  2. Forward the calls you can’t answer

Once your number is ready, follow your carrier’s instructions for call forwarding. Your customers keep calling the number they already know.

  3. Callers leave a normal voicemail

They hear your greeting and leave a message. No voice bot to negotiate with. CallCrate records the message and writes it out.

  4. Read it, then make the call

An email alert points you to the message. Read the transcript, listen when you need to, and decide how to follow up. No job is booked or promised on your behalf.

AI text follow-up

Less “it’s not working.” More useful context.

Heating or cooling, system age, symptoms, and location give you a better place to start. With AI text follow-up, CallCrate can collect the details the voicemail left out.

Questions you could have it ask:

  • Is this about heating, cooling, or both?
  • What is the system doing, or not doing?
  • Roughly how old is the equipment?
  • What’s the address, and when’s a good time to call?

You set the questions and the business facts it can share. These are examples, not a ready-made industry setup. You still handle quotes, bookings, and advice.

Example text conversation

CallCrate · Automated assistant

Thanks. Roughly how old is the system, if you know?

Jamie

Around twelve years old. I’m available for a call after four.

Illustrative example. CallCrate identifies itself as automated. The caller can ask for a person or text STOP to stop the conversation.

A useful backup.
Not another hire.

If you need someone to answer live, give advice, or manage your calendar, this isn’t that service. If you need a better way to handle the calls you miss, this is a simpler place to start.

A few things worth knowing.

Straight answers for HVAC businesses. Have a question we didn’t cover? Ask us.

Is CallCrate a live HVAC answering service?

No. Callers leave a normal voicemail rather than speaking to a receptionist or a voice bot. CallCrate records the message, transcribes it, and emails you an alert. You handle the callback and the service decision.

Does it diagnose HVAC problems or dispatch emergency service?

No. CallCrate doesn’t troubleshoot equipment, give safety instructions, monitor urgent calls, or dispatch technicians. Keep your existing emergency process separate.

Can I keep my business phone number?

Yes. Keep the number your customers already know. Once your CallCrate forwarding number is ready, follow your carrier’s instructions to forward the calls you can’t answer. Carrier options and charges can vary. We help with setup; service isn’t instant.

What happens if the caller doesn’t leave all the details?

You still get the voicemail, transcript, recording, and email alert. You can ask about anything missing when you call back. CallCrate doesn’t turn an incomplete message into a confirmed job.

Will CallCrate quote prices, book jobs, or handle emergencies?

No. You make every pricing, scheduling, and service decision. CallCrate doesn’t promise callback times, monitor emergencies, or replace an emergency answering process.

How much does CallCrate cost?

CallCrate costs $29 a month, with no setup fee. There are no overage charges. Fair use applies for everyday small-business missed calls. Billing starts at checkout, including while we’re setting up your service. You can cancel and keep service through the period you’ve paid for.
