How CallCrate handles account information, voicemail recordings, and transcripts.
Information we handle
We handle the account and business information you give us, such as your name, email address, business contact details, service settings, and billing status.
When someone leaves a message for a business that uses CallCrate, we handle their phone number (when available), call details, voicemail recording, transcript, and anything they choose to say. We also handle the technical and security information needed to run the service, such as request logs and session data.
How we use information
We use this information to run your account, record and transcribe voicemails, send you alerts, show messages in your inbox, handle billing and setup, provide support, and protect the service from misuse.
Transcripts may be produced by automated or AI tools. They can contain mistakes, so check the recording when accuracy matters.
Who receives information
The business a caller contacts can see their message and contact information. Email alerts to the business owner may include the caller’s number and part of the transcript.
Service providers handle the information they need to do their part: Telnyx and Twilio for calls and recordings, Stripe for payments, and our hosting, storage, email, and transcription providers. You enter card details on Stripe’s secure checkout, not on a CallCrate form.
Authorized CallCrate staff may access information when needed for setup, support, security, or running the service. Information may also be disclosed where required by law or to protect people and the service.
Storage and retention
Voicemail recordings can only be played by signed-in, authorized users. There are no public download links. Recordings, transcripts, and inbox records are kept and deleted according to the service’s retention settings.
Canceling a subscription doesn’t automatically delete existing inbox records. Some records may need to be retained for billing, security, legal obligations, or an applicable hold. Deleting a record from CallCrate doesn’t remove copies a business has already received, such as an email alert.
Cookies and security
CallCrate uses session cookies and request protection to keep you signed in and your account secure. You can control cookies in your browser, but disabling them may prevent account features from working.
We use access controls to protect account and voicemail information, but no online service can guarantee perfect security. Keep your password private and tell us if you suspect someone else has accessed your account.
Your choices and requests
Business owners can request deletion of voicemails and requests from inside their account. For access, correction, deletion, or other privacy requests, contact us. We may verify your identity and consider applicable retention requirements before fulfilling a request.
If you left a message for a business, ask that business how it uses your information. You can also contact us about information processed by CallCrate. Your privacy rights depend on the laws that apply to you.
